Commercial Executive Lending Assistant

Location: Grapevine, TX


A community-focused bank with a strong commitment to relationship banking is seeking a Commercial Executive Lending Assistant to support senior leadership within its commercial banking division. This position provides direct administrative and operational support to executive-level commercial banking leadership while assisting in the day-to-day servicing of a commercial loan portfolio. The role operates within a dual reporting structure, supporting both senior lending leadership and the commercial loan operations function to ensure alignment with internal procedures, compliance standards, and portfolio priorities.

Key Responsibilities:


Portfolio & Executive Support

  • Provide direct administrative and operational support to senior commercial banking leadership in managing an assigned loan portfolio
  • Coordinate and prepare materials for loan committee submissions, credit renewals, and loan closings
  • Track and manage key loan dates, including maturities, renewals, rate adjustments, and covenant reporting deadlines
  • Monitor portfolio activity and proactively identify items requiring attention, including expiring credits, missing documentation, and financial reporting needs
  • Assist in the preparation and organization of annual reviews and ongoing portfolio management deliverables


Loan Documentation & File Management

  • Maintain complete, accurate, and well-organized loan files in accordance with bank policy
  • Ensure all required documentation; including loan agreements, financials, insurance, and entity documents, is properly recorded and accessible
  • Review loan closing packages for completeness and coordinate with internal teams and third parties to resolve deficiencies
  • Track and follow up on post-closing items to ensure timely receipt and compliance
  • Support internal audits and examinations by maintaining audit-ready loan files


Tickler & Exception Management

  • Manage tickler systems and exception tracking for the loan portfolio, including financial reporting, insurance, and compliance-related items
  • Proactively follow up with borrowers and third parties to collect required documentation
  • Maintain accurate records of outstanding items and provide regular updates to leadership
  • Partner with loan operations to ensure timely clearing of exceptions and accurate system reporting


Client Communication & Correspondence

  • Serve as a primary point of contact for borrowers on administrative and servicing-related matters
  • Draft and distribute routine correspondence, including financial statement requests, covenant reminders, and compliance notices
  • Coordinate collection of financial statements, tax returns, and other borrower reporting requirements
  • Escalate sensitive client matters or credit concerns to senior leadership as appropriate


Administrative Support

  • Manage scheduling, calendars, and coordination of meetings related to client and credit activities
  • Prepare internal reports, presentations, and portfolio summaries
  • Collaborate with internal departments including credit, operations, compliance, and legal to support portfolio servicing
  • Perform additional duties as needed to support commercial banking leadership and operations


Required Qualifications

  • 4–7 years of experience in commercial banking, loan operations, or commercial lending support
  • Demonstrated experience managing loan files, tickler systems, and borrower communications
  • Strong understanding of commercial loan documentation, collateral types, and servicing workflows
  • Experience supporting senior lenders or executive-level banking professionals preferred
  • Proficiency in Microsoft Office; familiarity with banking systems and document imaging platforms preferred
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of professionalism and discretion when handling confidential information
  • Ability to work effectively within a dual reporting structure


Education

  • Associate’s or Bachelor’s degree in Business, Finance, or a related field preferred (or equivalent experience)
